What this page covers
How payments are initiated, authorized, captured, settled, refunded, and disputed when using DjetPay. We also outline roles, fees, timing, and security practices.
1. Roles and Responsibilities
- DjetPay is a software platform that facilitates invoicing and payment initiation. We are not a bank or money transmitter and do not take ownership of your funds.
- Payment processing is performed by third-party processors and financial institutions (for example, Stripe, Inc.), under their terms and policies. If you open a connected account, you agree to the applicable processor terms.
- Merchants are responsible for the goods/services provided to their customers and for their own refund, shipping, and support policies.
2. Payment Methods
Cards (Credit/Debit)
- Authorization may be immediate; capture may occur on completion or shipment as configured by the merchant.
- Refunds return to the original card when supported by the network and processor.
ACH Bank Debits (US)
- Settlement typically takes several business days; funds are subject to ACH return windows.
- Refunds may be delayed until the original debit settles; some banks may not support instant refunds.
3. Fees and Who Pays
Transactions may include processor fees (for example, card network/processor fees) and platform fees (charged by DjetPay for product usage). Who pays can be configured by the merchant:
| Mode | Who Pays | Notes |
|---|---|---|
| Customer Pays | Payer absorbs eligible fees at checkout. | Displayed to the payer before confirmation. |
| Merchant Pays | Merchant absorbs fees; payer sees only the invoice total. | Common for B2B experiences. |
| Split | Fees are shared between payer and merchant. | Available where supported by processor and plan. |
Exact pricing may vary by plan, method, region, and risk profile. See your account dashboard for current rates.
4. Payment Lifecycle (Authorization, Capture, Settlement)
- Authorization: The payer's bank or card network authorizes a maximum amount for a limited time.
- Capture: The authorized payment is captured (fully or partially) per merchant settings.
- Settlement: The processor submits the transaction for clearing; timing varies by method and network.
5. Settlement and Payout Timing
Typical timelines (subject to processor configuration and risk review):
- Card Payments: Settlement generally within 1 to 3 business days after capture; payouts to merchant bank per payout schedule.
- ACH Debits: Settlement typically within 3 to 5 business days; funds may be unavailable during return windows.
6. Holds, Reserves, and Risk
Processors and financial institutions may apply holds or reserves to manage risk, fraud, disputes, or compliance obligations. Holds can delay access to funds. DjetPay may request additional information to resolve risk reviews.
7. Refunds
Refunds are governed by the merchant's policy and processor capabilities. Approved refunds are typically issued to the original payment method. For details, see our Refund Policy.
8. Chargebacks and Disputes
- Dispute Opened: The payer challenges a transaction with their bank or card issuer.
- Evidence: The merchant must provide evidence within the processor's deadline (for example, proof of service, signed docs, correspondence).
- Decision: The issuer or network decides the outcome; fees may apply.
High dispute rates can lead to additional fees, reserves, or account restrictions under processor rules.
9. Security and PCI
- DjetPay does not store full card numbers or bank credentials. Sensitive payment data is handled by PCI-DSS compliant processors.
- All application pages use HTTPS/TLS. Access is restricted by authentication and role-based controls.
- See our Security Statement for additional details.
10. Compliance and Restrictions
- Use of the platform is subject to our Terms of Service and Acceptable Use requirements.
- Processors and card networks maintain prohibited and restricted activities lists. Merchants must comply with applicable laws and network rules.
- We may require information for KYC/AML reviews where applicable and may decline or reverse transactions that violate rules or law.
11. Taxes and Currency
Prices are typically shown in the merchant's selected currency. Taxes are calculated and displayed where provided by the merchant. Exchange rates and foreign transaction fees are determined by banks, card networks, or processors.
12. Receipts and Records
Payers receive on-screen confirmation and may receive a receipt by email. Merchants can access transaction records in their dashboard. Maintain your own records for accounting and tax purposes.
